📘 Why Your Case Was Delayed

Overview

CAE Dental works hard to deliver fast, predictable turnaround times. However, certain issues can delay a case before or during the design process. This guide explains the most common reasons for delays, how to identify them, and how to prevent them in future submissions.


⏳ Common Reasons Your Case Was Delayed

1. Missing Required Files

This is the most frequent cause of delays.

Examples:

  • Missing upper, lower, or bite scan
  • Missing scan body scan for implant cases
  • Missing photos for anterior or full‑arch cases
  • Missing PMMA prototype scan for final zirconia

When required files are missing, the case is placed in On-Hold status until the needed items are uploaded.


2. Poor Scan Quality

If the scans cannot be used reliably, the case must be paused.

Common issues:

  • Holes or voids in the scan
  • Missing anatomy (cusps, margins, vestibules)
  • Excessive noise or overlapping passes
  • Distorted or incomplete bite scan
  • Incorrect or unseated scan bodies

These issues often require a rescan to proceed.


3. Incorrect or Missing Implant Information

Implant cases require precise details.

Delays occur when:

  • Implant system is not provided
  • Implant platform size is missing
  • Wrong scan body brand was used
  • Scan body is not fully seated
  • No tissue height information for custom abutments

Without this information, the design cannot begin.


4. Unstable or Incorrect Bite Registration

A bad bite scan leads to inaccurate occlusion.

Delays happen when:

  • Bite does not match the arches
  • Patient was not fully closed
  • Bite is captured only on one side
  • Bite is distorted or incomplete

A new bite scan is often required.


5. Conflicting or Unclear Case Notes

If instructions are unclear, contradictory, or incomplete, the case may be paused for clarification.

Examples:

  • “Make it look good” with no specifics
  • No guidance for esthetic cases
  • Missing midline or smile line notes for full‑arch cases

Clear notes = faster turnaround.


6. Revision Requested Mid‑Design

If you request changes while the case is already in progress, the design may be paused and restarted.

Examples:

  • New bite scan uploaded
  • Change in material
  • Change in restoration type

This resets the workflow timeline.


7. High‑Complexity Cases

Some cases naturally require more time, especially when:

  • Full‑arch or All‑on‑X
  • Multiple implants
  • Complex esthetics
  • Heavy occlusal adjustments
  • Large bridges or multi‑unit designs

These cases may take longer even when all files are perfect.


8. High Workload or Rush Queue

During peak periods, turnaround times may extend slightly.
Rush cases may also temporarily shift the queue.

📂 How to Check Why Your Case Was Delayed

1. Open the Case

Go to:
My Account → Orders → Select Case

2. Look for Notes From Our Team

You may see:

  • Requests for additional files
  • Clarification questions
  • Scan quality concerns
  • Implant information requests

3. Check the Case Status

Common statuses:

  • Awaiting Additional Files
  • On Hold
  • Pending Clarification

These indicate the case cannot proceed until action is taken.


🚀 How to Prevent Delays in the Future

1. Upload All Required Files at Checkout

Always include:

  • Upper, lower, bite
  • Scan bodies (implants)
  • Photos (anterior/full‑arch)
  • PMMA prototype (final zirconia)

2. Double‑Check Scan Quality

Before uploading:

  • Ensure no holes
  • Capture full anatomy
  • Verify bite alignment
  • Confirm scan body seating

3. Provide Clear Case Notes

Include:

  • Shade
  • Material
  • Occlusion instructions
  • Implant system + platform
  • Aesthetic preferences

4. Respond Quickly to Requests

Fast replies = fast turnaround.

5. Use PLY or DCM Scans When Helpful

Color scans improve margin and tissue accuracy.
